Customer Background: The customer has been sourcing pet supplies from China and working with us for several years. At the end of last year, the customer’s son took over the logistics coordination and became our main contact for shipments./

2. Shipping Challenges

• Detailed Schedule Requirements: The new contact required each quotation to clearly show the estimated time of departure (ETD) and estimated time of arrival (ETA), rather than only providing the total transit time.

After confirmation, we arranged pickup from the suppliers to our Ningbo warehouse and kept the customer updated throughout the shipment.

Step 1: Coordinate with Multiple Suppliers

We followed up with suppliers in Guangdong, Jiangsu, and Zhejiang to confirm cargo-ready dates and coordinate the shipment schedule according to the customer’s preferred sailing options.

Step 2: Prepare Detailed ETD & ETA Quotations

Instead of only showing the overall transit time, we updated each quotation with a clear ETD and ETA. Based on the suppliers’ cargo-ready dates, we prepared three fast-sailing options for the customer to compare.

Step 3: Compare Slow-Sailing Options

The customer’s previous shipment used a slower sailing option with a lower rate. When the customer questioned why the larger shipment had a higher price, we explained the difference and provided three additional slow-sailing price options for comparison.

Step 4: Confirm the Most Cost-Effective Option

After comparing the available schedules and rates, the customer chose to ship all the cargo together on the slow sailing option. This allowed the customer to save more on the overall freight cost instead of splitting the shipment between different channels.

Step 5: Negotiate the Final Freight Rate

The initial quotation was US$1.85/kg. The customer first requested US$1.75/kg, which we could not accept. After the customer proposed US$1.80/kg, we applied internally for a further adjustment. As a long-term customer, we finally secured a rate of US$1.83/kg.

With  8,487 kg of chargeable weight, the US$0.02/kg reduction saved approximately US$169.74 compared with the original US$1.85/kg quotation.

Step 6: Arrange Pickup to Ningbo Warehouse

We arranged direct pickup from the suppliers and moved the cargo to our Ningbo warehouse for shipment preparation. Loading and pickup photos were shared with the customer promptly so they could track the cargo’s progress.

Step 7: Monitor the Sailing Schedule

A typhoon could potentially affect the vessel departure schedule. We informed the customer as soon as we received the relevant update, allowing them to understand the situation and plan accordingly.

Step 8: Arrange Sea Freight

We arranged the selected slow-sailing sea freight service based on the confirmed schedule and rate. The shipment then moved from China to the USA under the agreed DDP arrangement.

Step 9: Handle US Customs Clearance

After the cargo arrived in the USA, we handled the import customs clearance and applicable duties and taxes under the agreed DDP terms, so the customer did not need to manage these procedures himself.

Step 10: Arrange Final Delivery

Once customs clearance was completed, we coordinated the final-mile transportation and delivered the cargo to the customer’s destination in the USA. The shipment arrived approximately 25 days after the vessel’s departure.

The customer was very satisfied with the on-time delivery, cargo condition, and communication throughout the shipment, and left a positive review on October 8, 2026.

The customer was able to make the shipping decision quickly while keeping a clear view of both cost and schedule. The quotation was confirmed within one day, from the inquiry on August 17 to channel confirmation on August 18 and final freight price confirmation on August 19.
